Who we are

Ichelon Consulting US: a healthcare-only agency with a Dallas office and a specialist team behind it

Most agencies that market dental offices or med spas also market restaurants, roofers and law firms. We don't. Ichelon Consulting Group has worked only in healthcare since 2018, and Ichelon Consulting US is how that work reaches US practices. The US office sits at 3714 Matador Dr, Dallas, TX 75220. It is led by Santosh Reddy, Director, Ichelon Consulting US, and Ravi Kumarraju, Head of Business for the US.

Your account is run by a 10-person US client team in Dallas, working Central Time. Behind that team is ICG's production team in Gurugram, part of the same company, which brings the firm to 100+ people: SEO strategists, paid media managers, content writers who only write healthcare, designers, developers and reporting analysts. That team has delivered 1,000+ healthcare projects across 10+ countries. When you hire us, you are not hiring a two-person shop that outsources the hard parts. You are hiring the same people who build and run healthcare marketing every day, with a US client team that owns your relationship.

We keep the US practice deliberately focused. Seven specialties are live with paying US clients right now: primary care, functional medicine, med spa, skin care, general and cosmetic dentistry, pediatric dentistry and pediatrics. We also run dermatology, plastic surgery, aesthetic, weight-loss, hair restoration and wellness engagements, and we have written extensively about each — but we would rather show you a logo from your specialty than a claim about it.

US office, US hours

Strategy calls, onboarding and escalations run in US business hours through the Dallas office. You get a direct US phone line (+1 (724) 612-3694) and named US leaders, not a ticket queue.

Healthcare-only team

Every writer, strategist and media buyer on your account works only on healthcare. They already know what a state dental board will object to and why a med spa's booking funnel is different from a pediatric practice's.

Our own software

Ichelon Agency OS tracks your goals live. Angryturtle manages Google Business Profile health across locations. YODA runs YouTube for doctors. You see the same dashboards we do. See the screenshots below.

Who we work with

25+ US clients, from North Dallas to Beverly Hills to Virginia

Our US client list grows one well-served practice at a time, and it is unusually varied. A pediatric practice in a Virginia college town, a primary care clinic in North Dallas, a skin clinic in Beverly Hills and a telehealth functional medicine practice do not share a single marketing problem, and working across all three keeps our playbooks honest.

North Dallas, Texas — primary care and med spa under one roof

Lakewood Primary Care & Wellness and Lakewood MedSpa show a pattern we see more and more across Texas: a physician-led practice that pairs insurance-based primary care with cash-pay aesthetic services. Marketing those two lines together is harder than it looks. The primary care side needs trust, accepted-insurance clarity and easy new-patient booking. The med spa side competes in one of the most crowded aesthetic markets in the country, where Dallas–Fort Worth practices bid against each other for every Botox and filler search. The website has to serve both without confusing either patient.

If you run a Dallas-area practice, our Dallas pages go deeper on each specialty: med spa marketing in Dallas, dental marketing in Dallas, dermatology marketing in Dallas and skincare clinic marketing in Dallas.

Beverly Hills, California — skin care in the most scrutinised aesthetic market in the US

Spade Skin Care works in a market where patients have seen every before-and-after photo trick and every "celebrity favourite" claim. California also layers its own rules on top of federal ones: the Medical Board of California's advertising standards, and the state's privacy law for consumer data. Marketing that works in Beverly Hills is quieter and more specific than marketing that works almost anywhere else — named treatments, clear expectations, credentials stated plainly. See our guide to Medical Board of California marketing rules and our Los Angeles dermatology marketing page.

Southwest Virginia — dental and pediatric care across the New River and Roanoke valleys

Four of our US clients sit within about forty miles of each other in Southwest Virginia: Opulent Dental in Christiansburg, Opulent Pediatrics and Opulent Pediatric Dentistry in Blacksburg, and Mill Mountain Dentistry in Roanoke. This is family-care territory. Blacksburg is home to Virginia Tech, so a large share of families are new to the area every year and choosing a pediatrician or dentist from scratch. Roanoke is the region's largest city and draws patients from a wide rural radius.

In markets like these, Google Business Profile and local search do most of the heavy lifting. Parents search "pediatric dentist near me" and choose from the map, so reviews, photos, hours and accurate insurance information matter more than clever ad copy. A group of related practices also has to be careful that its locations support each other in search rather than compete. That is exactly the kind of problem Angryturtle, our Google Business Profile platform, was built to manage.

Nationwide telehealth — functional medicine, where YouTube is the front door

Dr. Anshul Gupta, MD is a board-certified family medicine physician and former Cleveland Clinic functional medicine doctor who now runs a virtual functional medicine practice for thyroid disease, Hashimoto's and chronic illness. His patients can be anywhere in the country, so there is no map pack to win and no neighbourhood to target. What decides whether a patient books is whether they have already watched him explain their condition — and trusted what they heard.

When he came to us, his YouTube channel had stalled despite his own efforts. Rohit and Abhash identified the gaps, and Sabhyaa, our head of projects, led her team through a full channel evaluation and an SEO-led content strategy. In his words, it "propelled our YouTube channel to new heights" — and more importantly for the practice, "we have seen new patient consultations coming on a regular basis." That is the model behind YODA, our YouTube system for doctors: patient education that ranks, and a steady flow of consultations from people who already know who you are.

Hi, I'm Dr. Anshul Gupta, a functional medicine physician from the US. When I first approached Ichelon Consulting, my YouTube channel was stuck and despite my own efforts, it was not growing. That's where Rohit and Abhash quickly identified the gaps, and then Sabhyaa, who was head of projects, demonstrated business acumen and strategic insights. She, along with her team, did a great job of reviving my YouTube channel and also increased my reach to several other people. They created a specific strategy which was based on SEO and also completely evaluating the channel, which worked great and actually has propelled our YouTube channel to new heights. Because of the channel growth, we have seen new patient consultations coming on a regular basis, and this has also helped in our business growth. So I highly recommend their team if you are looking to scale your business to new heights.

In a client's words

"I would highly recommend their company" — Dr. Rajan Kohli, Lakewood Primary Care & Wellness

Dr. Rajan Kohli owns Lakewood Primary Care & Wellness in North Dallas. In the video above, he talks about the practice website our team built with him. It is short, and it is worth watching for what he chooses to mention.

He doesn't talk about rankings or traffic. He talks about the process: that the team was able to "get all my ideas and work with me over a period of three to four months". That matches what most practice owners tell us they want from a website partner and rarely get — someone who listens, puts the ideas into a real design, and keeps adjusting until the owner is happy with it.

Then he names the features that mattered to him: a patient portal, patient reviews, good photography and an interactive site that feels modern. Those are also the features that move numbers for a primary care practice. The portal cuts phone volume for refills and records. Visible reviews close the trust gap for new patients comparing clinics. A fast, interactive site keeps mobile visitors from bouncing back to the search results.

What a practice website build with us involves

  1. Discovery. We interview the practice owner and front desk, audit the current site and Google Business Profile, and list every patient question the site needs to answer — insurance, hours, services, new-patient steps.
  2. Structure and content. A page for each service and each location, written by healthcare writers and checked against your state board's advertising rules before anything is designed.
  3. Design rounds. Real pages, not mood boards, reviewed with you until they feel like your practice. This is the stage Dr. Kohli describes as "work with me over a period of time".
  4. Build. Fast mobile pages, HIPAA-aware forms that keep patient information out of ad and analytics tools, ADA (WCAG 2.2 AA) accessibility, and integrations such as patient portals, online booking and review widgets.
  5. Launch and search setup. Redirects from old pages, schema markup, Google Business Profile linking, analytics and call tracking — so the new site keeps whatever search visibility the old one had and starts building more.

More on our approach: healthcare website development and ADA website accessibility for healthcare.

Hi guys, this is Rajan Kohli. I want to give a big shout out to Abhash and his team at Ichelon. They made an amazing website for me, Lakewood Primary Care and Wellness. Right now I am close to the border of Canada — this is in Washington, as you can see the water is fantastic. What his team was able to accomplish was, they were able to get all my ideas and work with me over a period of three to four months and create this amazing website. It's super customized and very modern, very trendy, and it incorporates all the elements that I had wanted from him: the patient portal, nice pictures, a very interactive type of website, patient reviews. And he was able to make those changes over a period of time to come up with a beautiful website. So I would highly recommend their company to anyone who wants to make an excellent website. Thanks.

What a US practice gets

Healthcare marketing services, each tied to an outcome you can check

Most practices come to us for one thing: a new website, better Google Maps visibility, or ads that stop wasting money. They add more once the first piece works. Every service below can be bought on its own or as part of a wider engagement, and every one of them is reported against a number you can check yourself in Google Search Console, Google Analytics, your Google Business Profile or your ad accounts.

We describe each service by what it should move, not by the list of tasks. Tasks are easy to fill a report with. Calls, form fills and booked consultations are what keep the schedule full.

Healthcare SEO

Service, condition and location pages written by healthcare writers, technical fixes, medical schema and internal linking, on a content calendar built from what your patients actually search.

Should move: non-brand organic visits, organic calls and form fills, and rankings for "[treatment] in [city]" searches.

Healthcare SEO for US practices →

AI search (AEO)

Pages that answer the question in their first two sentences, FAQ and medical schema, and the third-party mentions AI assistants lean on. Tracked in AIO Intel across ChatGPT, Google AI Overviews, Gemini and Microsoft Copilot.

Should move: how often your practice is named or cited when someone asks an AI assistant about your specialty in your city.

Answer engine optimization →

Local SEO & Google Business Profile

Categories, services, photos, posts, Q&A, review replies and citation clean-up for every location, run on Angryturtle with suspension-risk checks before any edit goes live.

Should move: map-pack visibility, calls, direction requests and website clicks from your Google Business Profile.

Local SEO for healthcare →

Google Ads (PPC)

Search campaigns built inside Google's healthcare advertising policies, with call tracking and conversion tracking that never sends patient details to Google.

Should move: cost per booked consultation, not cost per click. Wasted spend on searches that never book comes out first.

Healthcare PPC management →

Meta Ads (Facebook & Instagram)

Lead campaigns for cash-pay services such as aesthetics, cosmetic dentistry and wellness, with creative that respects Meta's health and personal-attributes rules. Competitor creative is reviewed in Prism Spy before we write a line.

Should move: qualified leads and attended consultations, measured against the media spend that produced them.

Meta Ads for healthcare →

Reputation management

A review request process your front desk can follow, reply templates that never confirm someone is a patient, and monitoring across Google and the directories patients read.

Should move: steady monthly review volume, owner reply rate and rating, which all feed local rankings.

Healthcare reputation management →

Website design & development

Custom practice websites with patient portals, online booking, review integration, HIPAA-aware forms and ADA (WCAG 2.2 AA) accessibility. Redirects and schema are planned before launch so search visibility carries over.

Should move: mobile conversion rate, form and call completions, and page speed on real phones.

Healthcare website design →

Content marketing

Patient-education articles, treatment guides and provider-led video scripts, checked against your state board's advertising rules and reviewed by you before anything is published.

Should move: traffic to condition and treatment pages, and the enquiries that start on them.

Healthcare content marketing →

Patient email & SMS

Recall, reactivation and appointment reminder sequences, sent only with documented consent (TCPA) and with working opt-outs (CAN-SPAM). No protected health information in subject lines or previews.

Should move: recall visits booked, lapsed patients reactivated and no-shows.

Patient email & SMS marketing →

Marketing consulting

For practices with an in-house marketer or another vendor: an independent audit, a 90-day plan, budget allocation by channel and a monthly review with the US team.

Should move: clarity on where the next dollar goes, and a plan your own team can run.

Healthcare marketing consulting →

Branding

Name, logo, visual system and tone of voice for new practices, second locations and practices that have outgrown a look chosen in a hurry.

Should move: recognition across your website, Google profile, signage and ads, so every channel looks like the same practice.

Healthcare branding →

Performance marketing

Google, Meta and YouTube run as one budget, moved monthly toward whichever channel is producing booked visits at the lowest cost, with Performance-Linked Payout Models available.

Should move: blended cost per qualified lead and total booked consultations across every paid channel.

Healthcare performance marketing →

YouTube for doctors

Provider-led video, planned and ranked through YODA, so patients meet your doctors before they walk in and AI assistants have your expertise to quote. It revived Dr. Anshul Gupta's stalled channel and now brings him regular new patient consultations.

Should move: views on the topics your patients search, and consultation requests from viewers.

About YODA →

Lead handling & reporting

Every call, form and message tracked to its source and reported live on Ichelon Agency OS, so you can see cost per enquiry and cost per booked visit by channel.

Should move: speed to first response and the share of enquiries that become booked visits.

About Ichelon Agency OS →

Where to start if you can only do one thing

Budgets are finite. This is how we usually advise practices to sequence the work on a first call, based on the problem the owner describes.

If the problem is…Start withWhy
"Nobody finds us on Google Maps"Local SEO & Google Business ProfileMost "near me" decisions happen in the map pack. Profile fixes and steady reviews are the cheapest visibility a local practice can buy.
"Our website looks dated and doesn't convert"Website designEvery other channel sends people to the website. Fixing it first raises the return on SEO and ads that follow.
"We spend on ads but can't tell what works"Google Ads + trackingWithout call and form tracking, nobody can tell which keywords book visits. The audit usually finds wasted spend in the first two weeks.
"We need more cash-pay patients"Meta AdsAesthetic, cosmetic and wellness services are often chosen on Instagram and Facebook before anyone searches.
"A competitor has twice our reviews"Reputation managementReview count and recency affect both map rankings and which practice a patient calls.
"AI assistants recommend other practices"AI search (AEO)Assistants quote pages that answer clearly and practices that are mentioned elsewhere. Both can be built deliberately.

See every service in one place on the US services hub, or start with a free practice visibility audit.

The software behind the work

What you see when you work with us: real screens from our own tools

Monthly PDF reports are still common in this industry. We built our own software so that you, and our team, look at the same live data. Each tool does one job: Ichelon Agency OS tracks your goals, Angryturtle runs Google Business Profile health, Prism Spy shows the ads other practices in your specialty are running, YODA plans and tracks YouTube, and AIO Intel tracks citations in AI answers. Ichelon Agency OS, YODA and AIO Intel are included with managed engagements. Angryturtle can also be used on its own from $29/month, and Prism Spy is $149/month per specialty. Details are on our software page.

The screenshots below come from live accounts and demo workspaces. Client names are replaced with letters or blurred, and no figure here belongs to any practice named on this page.

Ichelon Agency OS goals table showing anonymised clients with Search Console clicks, impressions and Google Business Profile calls compared with the number expected by that date and the monthly goal
Ichelon Agency OS Every goal, against where it should be today Each row is a client (anonymised). Each cell shows the month-to-date result for one goal, such as Search Console clicks or Google Business Profile calls, next to the number expected by today and the full monthly goal. Green is on pace, red is behind. Why it matters to a practice: you know by the middle of the month whether it is on track, while there is still time to change something, instead of reading about a bad month after it has ended.
Client goal pacing cards for Google Business Profile calls, Instagram views, interactions and profile visits, and Search Console clicks and impressions, each with target and percent of expected
Ichelon Agency OS · client view Your goal contract, pacing live This is the view a practice logs into. Every goal from the written monthly goal contract has its own card: the result so far, the monthly target, and how that compares with what was expected by today. The tabs underneath (Weekly Report, GA4, Search Console, Google Business Profile, Google Ads, Instagram) hold the detail behind each number. Why it matters: goals are only useful if both sides read the same scoreboard. The Monday report is generated from this same data, so there is no second version of the truth.
Angryturtle Profile Health screen with a portfolio average score and counts of Google Business Profiles in critical, fair and good bands, plus a score distribution chart
Angryturtle Google Business Profile health across every location Angryturtle scores each Google Business Profile and groups them into critical (below 40), fair (40 to 64) and good (65 and above). A multi-location group sees in one screen which locations are dragging the average down. Why it matters: for most practices the map pack is the front door. A group with one neglected location usually loses calls there first, and this is where we decide what to fix this week.
Angryturtle risk factors table listing Google Business Profile issues such as keyword-stuffed business names, missing website, phone mismatch and irrelevant categories, with severity, ranking impact and counts at risk
Angryturtle Suspension and ranking risks, before Google acts Each row is a known risk for a Google Business Profile: keywords stuffed into the business name, a missing website, a phone number that does not match the website, irrelevant categories, too few reviews. Severity and ranking impact are scored separately. Why it matters: a suspended profile disappears from Maps. Checking these before any edit protects the listing that brings in most new-patient calls.
Angryturtle weekly tasks screen with prioritized Google Business Profile tasks such as reviewing Google's automatic edits, checking suspension risk and adding missing website links and phone numbers
Angryturtle This week's work, in priority order Tasks are generated from the profiles themselves: review changes Google made automatically, resolve suspension risks, add missing website links and phone numbers, fix incomplete addresses. Each task links to the exact listings affected. Why it matters: Google edits practice profiles without asking. Someone has to check those edits every week, and this is how we make sure it happens.
Prism Spy service cluster dashboard on an anonymised demo watchlist showing which services competitors advertise most, the best-scoring ads, services gaining momentum and where offers concentrate
Prism Spy · anonymised demo What other practices in your specialty are advertising Prism Spy reads the Meta and Google ads running in a specialty and groups them by service. This demo watchlist shows which services are advertised most, which ads score highest, which services are gaining new ads this month, and where offers such as a free consultation or a discount are concentrated. Why it matters: your first campaign starts from what is already working in your market, not from guesses. It also shows when a competitor launches a new offer you need to answer.
YODA comments analytics screen classifying YouTube comments by sentiment and flagging prospects who signal they want to become patients, with replied and not replied counts
YODA · comments Spotting viewers who want to become patients Every YouTube comment is classified as positive, negative or informative, and flagged as a "prospect" when the viewer signals they want to be seen. The screen also shows which comments have had a reply. Why it matters: a comment asking "do you see patients in Texas?" is a lead. Replies are written so they never confirm that anyone is a patient.

Specialties

Specialties we market in the US

Each specialty buys differently. A parent choosing a pediatrician is looking for proximity, availability and warmth. A med spa patient is comparing prices, results and reviews. A new primary care patient mostly wants to know whether you take their insurance and when they can be seen. We build each engagement around how that specialty's patients actually decide.

Each specialty also has its own advertising traps. Dental and plastic surgery boards care about how specialty and board-certification claims are worded. Med spas have to handle before-and-after photos, financing language and off-label injectable claims carefully. Pediatric practices market to parents, so the questions are about first visits, insurance and same-day sick appointments. Primary care lives or dies on whether the accepted-insurance page is clear. Our US specialties hub lists every specialty page we publish; the cards below link to the ones most practices ask about.

Dental & cosmetic dentistry

Live clients: Opulent Dental (Christiansburg, VA) and Mill Mountain Dentistry (Roanoke, VA). New-patient flow, implant and cosmetic case acquisition, and multi-location local search.

Pediatric dentistry

Live client: Opulent Pediatric Dentistry (Blacksburg, VA). Marketing to parents, not patients — trust, first-visit reassurance, and map visibility for "pediatric dentist near me".

Pediatrics

Live client: Opulent Pediatrics (Blacksburg, VA). Well-care and sick-care visibility, new-family acquisition in high-turnover college towns, and clear insurance information.

Primary care & family medicine

Live client: Lakewood Primary Care & Wellness (North Dallas, TX). Websites with patient portals, accepted-insurance clarity and local search for new-patient appointments.

Med spa & aesthetics

Live client: Lakewood MedSpa (North Dallas, TX). Consultation-led funnels for injectables, lasers and body contouring in crowded metro markets.

Skin care & dermatology

Live client: Spade Skin Care (Beverly Hills, CA). Treatment-specific pages, before-and-after compliance and review strategy for high-scrutiny markets.

Functional & integrative medicine

Live client: Dr. Anshul Gupta MD (telehealth, nationwide). YouTube-led patient education and search visibility for condition-specific care such as thyroid and Hashimoto's.

More specialties

We also run engagements for plastic surgery, weight-loss, hair restoration and wellness practices.

How we work

Every practice welcome — Goals-Driven engagements from $499/mo

A solo practice that needs its website found and a multi-location group that needs a full growth program are both welcome here. Retainers start from $499/mo for a website SEO base package, and every engagement — at any size — is Goals-Driven.

Goals-Driven means we agree specific monthly numbers with you before campaign work starts: website enquiries, Google Business Profile calls, qualified leads from Google and Meta, and whatever else matters to your practice. Those goals live on Ichelon Agency OS, where you can see progress any day of the month, and a report lands in your inbox every Monday. Performance-Linked Payout Models are available on top of the retainer for practices that want part of our fee tied to hitting those goals.

1 · Benchmark

We connect to your Search Console, Analytics, Google Business Profile and ad accounts and write down where the practice stands today, using your last 90 days of data.

2 · Agree the goals

Monthly goals are set jointly. You know your capacity and revenue; we know search and paid demand. Neither side signs a number the other wouldn't.

3 · Track it live

Ichelon Agency OS shows every goal and how it is pacing. Weekly reports, a monthly strategy call, and no screenshot-and-email reporting.

What a goal contract usually contains

  • Three to six goals, each tied to a data source you can open yourself: Search Console clicks, Google Business Profile calls, form fills in Google Analytics, qualified leads from Google or Meta, YouTube views.
  • A baseline from your last 90 days, so a goal means "more than you have now", not a number pulled from a sales deck.
  • What each side owns. We own the campaigns and pages. You own front-desk follow-up, because an enquiry nobody calls back cannot become a visit.
  • Optional Performance-Linked Payout terms, written in before work starts, if you want part of the fee tied to the goals.

The first 90 days

What happens in your first 90 days with Ichelon Consulting US

Practice owners tell us the worst part of hiring an agency is the fog of the first three months — lots of "foundation work", very little they can see. We'd rather you know exactly what is happening each month.

Days 1–14: benchmarking and fixes that can't wait

We connect to Google Search Console, Google Analytics, your Google Business Profile listings, and any Google or Meta ad accounts. We write down where every metric stands. In the same two weeks we fix the problems that cost you patients today: broken contact forms, wrong hours or phone numbers on Google, tracking that sends patient details to ad platforms, ad campaigns spending on searches that will never book. Most practices have at least one of these, and fixing them is often the fastest win of the whole engagement.

Days 15–30: goals agreed, first campaigns live

With the benchmark signed off, we agree monthly goals and set them up on Ichelon Agency OS. Paid campaigns (if they are in scope) relaunch with proper conversion tracking. Google Business Profile work starts — categories, services, photos, posts and a review request process your front desk can actually follow. If a new website is in scope, discovery and page structure start here.

Days 31–60: content and local search build-out

Service and location pages are written or rewritten by healthcare writers, checked against your state board's rules and published. Paid campaigns move from broad to focused as we see which searches and audiences produce booked visits rather than just calls. Your first monthly strategy call reviews the goals with real numbers against them.

Days 61–90: first honest read on what's working

By the end of month three there is enough data to say what is working, what isn't, and where the next dollar should go. Paid channels usually show clear movement by now. Organic search and map rankings are typically starting to move, with the larger gains still ahead. Website projects are in design review or launched, depending on scope. If something isn't working, we say so and change it rather than wait for the next quarterly review.

An honest answer

Who will I work with day to day?

US practice owners ask this on almost every first call. Here is the straight answer.

A US client team in Dallas. Ichelon Consulting US is a Dallas, Texas LLC. Your account is run by its 10-person US client team, working Central Time (CST) business hours from 3714 Matador Dr, Dallas, TX 75220. Strategy calls, onboarding, approvals and anything urgent go through them, on a US phone line (+1 (724) 612-3694).

Led by Santosh Reddy. Santosh Reddy, Director, Ichelon Consulting US, leads the US practice, with Ravi Kumarraju as a second US leadership contact. You will know their names, and they will know your goals.

A BAA, USD contracts and HIPAA-trained people. We sign a Business Associate Agreement with every US client. Contracts and invoices come from the US LLC, in USD. Client-facing and production team members hold HIPAA compliance training certificates.

How production works behind them. Writing, design, development, campaign changes and reporting are produced by ICG's specialist production team in Gurugram. It is part of the same company, not an outside vendor, and it works to the plan your US client team agrees with you. That depth is why a retainer can start from $499/mo and still give you a healthcare SEO strategist, a paid media specialist, a healthcare writer and a developer, each doing the part they do best.

You approve what goes live. Patient-facing pages are written in US English and sent to you for approval before anything is published. You know your community better than anyone.

Compliance built in

HIPAA-aware marketing, checked against the rules that apply to your practice

US healthcare marketing is regulated from several directions at once, and the risks are real: tracking pixels that leak patient information, text messages sent without consent, testimonials that break endorsement rules, or claims your state board considers misleading. We scope every engagement against the rules that apply to your specialty and your state before anything goes live, and we sign a Business Associate Agreement with every US client before work starts.

What that looks like in practice

  • A BAA before any work. We sign a Business Associate Agreement with every US client, and client-facing and delivery team members hold HIPAA compliance training certificates. Our HIPAA-compliant healthcare marketing guide explains what the agreement covers and what it doesn't.
  • Tracking without leaking. Forms, booking flows and call tracking are configured so protected health information never reaches Google, Meta or analytics tools. Conversion data sent to ad platforms carries no condition, treatment or appointment detail.
  • Consent before contact. Text and call follow-up only happens with documented consent, opt-outs are honored across every system, and quiet hours are respected.
  • Reviews handled carefully. Review replies never confirm that someone is a patient. Testimonials and before-and-after photos are only published with written permission, and incentives for reviews are never offered.
  • Claims your board would accept. Specialty and credential claims, "board-certified" wording, before-and-after photos and pricing language are checked against the advertising rules of the state where each provider is licensed. Our state medical board advertising compliance guide covers how those rules differ from state to state.
  • Accessible websites. New builds target WCAG 2.2 AA: keyboard navigation, color contrast, form labels and captions, checked before launch.

None of this replaces your own legal counsel, and we will say so when a question needs a lawyer. What it does is stop the common, avoidable mistakes before they reach a patient or a regulator.

Where we work

Headquartered in Dallas, working with practices in every US state

Our office is at 3714 Matador Dr, Dallas, TX 75220, and the 10-person US client team works Central Time (CST) business hours. Live clients today are in Texas, California and Virginia, plus a telehealth practice that sees patients nationwide. Most of the work is remote by nature (websites, search, ads and reporting), so a practice in Seattle or Miami gets the same team and the same software as one in Plano. Dallas–Fort Worth practices can also meet us in person.

What does change by location is the market. A dental office in Houston competes in a very different map pack from one in Roanoke. State board rules differ too, which is why every engagement is checked against the rules of the state where the practice is licensed. Our city pages cover what is specific to each market.

Research we publish

Original research on how US practices show up on Google

We publish the data we use to plan campaigns. Every study reports aggregates only, never names a business, and never reports a group smaller than ten. Methodology and downloadable datasets sit alongside each report so anyone can check the numbers.

Buyer's checklist

How to choose a healthcare marketing agency in the US

Whether or not you work with us, these are the questions worth asking any agency before you sign. Good answers are specific. Vague answers are a warning.

  1. Who else in my specialty do you work with? Ask for names or logos, not just a list of specialties. An agency with live clients in your field has already made its mistakes on someone else's budget.
  2. Do you work only in healthcare? Healthcare has its own rules (HIPAA, state boards, Google and Meta health policies). A generalist agency learns them on your account.
  3. Will you sign a BAA, and how do you keep patient data out of ad platforms? A vague answer here is a red flag in any US healthcare engagement. Ask them to explain how form submissions and conversion tracking are set up.
  4. What exactly will you report, and how often? Impressions and clicks are not outcomes. Ask to see enquiries, calls and booked visits by channel, and ask whether you get live access or only a monthly PDF.
  5. Are goals written into the contract? If an agency won't commit to measurable monthly goals, it is hard to tell later whether the money worked.
  6. Who owns the website, ad accounts and data? You should. Make sure the contract says so, and that ad accounts are billed to your card or invoiced without markup.
  7. Who will actually do the work? Ask who your day-to-day contact is, what hours they work, and who writes, designs and runs the campaigns behind them.
  8. How do you check claims against my state board's rules? Board-certification wording, before-and-after photos and pricing claims are where practices most often get into trouble.
  9. What does the first 90 days look like? A good agency can tell you what will be done, what should move, and what will take longer.
  10. Can I start small? A good partner should be able to start with one piece of work, such as a website, local search or one ad channel, and earn the rest.

Ichelon Consulting US is the United States practice of Ichelon Consulting Group, a healthcare-only marketing firm founded in 2018. The US office is at 3714 Matador Dr, Dallas, TX 75220, led by Santosh Reddy (Director, Ichelon Consulting US) with Ravi Kumarraju (Partner & Director, Ichelon Consulting US). Delivery draws on the group's specialist team, which has worked with 150+ healthcare brands.

Which US practices does Ichelon Consulting US work with today?

25+ US clients, including Lakewood Primary Care & Wellness and Lakewood MedSpa in North Dallas, Texas; Spade Skin Care in Beverly Hills, California; Opulent Dental (Christiansburg), Opulent Pediatrics (Blacksburg), Opulent Pediatric Dentistry (Blacksburg) and Mill Mountain Dentistry (Roanoke) in Virginia; and Dr. Anshul Gupta MD, a functional medicine practice that sees patients by telehealth across the US.

How much does a healthcare marketing agency cost in the US?

Every practice is welcome. Ichelon Consulting US retainers start from $499/month and are custom-scoped to your practice, your locations and the services you need. Every engagement is Goals-Driven, and Performance-Linked Payout Models are available, so part of the fee can be tied to the goals you agree with us. Ad spend is paid directly to Google or Meta and is never marked up. Our self-serve software is priced separately: Angryturtle from $29/month and Prism Spy at $149/month per specialty.

Do you lock practices into long contracts?

Contracts and invoices are issued in US dollars by Ichelon Consulting US, our Dallas LLC. Scope, monthly goals and any Performance-Linked Payout terms are written into the contract before work starts, and the Business Associate Agreement is signed first. The term is agreed during scoping, so you know exactly what you are committing to before you sign. Read how engagements and fees work on our how-we-work page.

Do you sign a BAA, and is your marketing HIPAA-compliant?

Yes, we sign a Business Associate Agreement with every US client. Engagements are HIPAA-aware by design: website forms, booking flows and tracking are configured so protected health information is not sent to ad platforms or analytics tools. Client-facing and delivery team members hold HIPAA compliance training certificates. We also scope work against TCPA for calls and texts, CAN-SPAM for email, ADA (WCAG 2.2 AA) for websites, FTC endorsement rules for reviews and testimonials, and your state board's advertising rules.

Which locations do you serve? Do you only work with practices in Dallas?

No. The office is in Dallas, Texas, but live clients today are in Texas, California and Virginia, plus a telehealth practice that sees patients nationwide, and we work with practices in any US state. Strategy calls run in Central Time business hours, and state-specific rules (medical and dental board advertising rules) are checked for the state each practice is licensed in. Dallas–Fort Worth practices can also meet the team in person.

What specialties do you market in the US?

Live US clients today cover dental, pediatric dentistry, pediatrics, primary care, functional medicine, med spa and skin care. The team also runs dermatology, plastic surgery, aesthetic, weight-loss, hair restoration and wellness engagements, drawing on the playbooks used across the group's wider healthcare portfolio of 150+ healthcare brands.

How is performance measured and reported?

Every engagement starts with a benchmark of your last 90 days of data. Goals are then written into a monthly goal contract, for example website enquiries, Google Business Profile calls and qualified leads from Google and Meta Ads, and tracked live on Ichelon Agency OS. You can log in any day to see how each goal is pacing against what was expected by that date, and a report lands every Monday.

Can you help our practice show up in Google AI Overviews and ChatGPT?

Yes. AI search (answer engine optimization) is part of our SEO work. We structure service and condition pages so the first lines answer the question directly, add FAQ and medical schema, keep your Google Business Profile complete, and build the third-party mentions AI assistants rely on. AIO Intel tracks how often your practice is cited in ChatGPT, Google AI Overviews, Gemini and Microsoft Copilot answers, and shows the topics where you are missing. Results in AI answers are never guaranteed by anyone, so we report citations as they actually happen.

Who will I actually work with?

Day to day, you work with the 10-person US client team at Ichelon Consulting US in Dallas, on Central Time (CST) business hours. Santosh Reddy, Director, Ichelon Consulting US, leads the practice, and Ravi Kumarraju is your second US leadership contact. Every client signs a Business Associate Agreement with the US LLC, and contracts and invoices are in USD. Production (SEO, paid media, content, design, development and reporting) is done by ICG's production team in Gurugram, part of the same company, and it reaches you through your named US account contact.

How long does healthcare marketing take to show results?

It depends on the channel. Paid search and Meta campaigns can produce enquiries within the first few weeks once tracking is in place. Website rebuilds typically take one to four months depending on scope. Organic search and Google Business Profile ranking gains usually build over three to nine months. We set monthly goals that reflect those timelines instead of promising overnight results.
