The Four-Step Referral Programme
Step 1: Identify the right moments to ask
The optimal moments for a referral ask:
- Immediately after a visible positive outcome ("Your results are looking excellent — are you happy with how it's going?")
- When a patient renews a package (their satisfaction is demonstrated by the renewal)
- When a patient leaves a Google review (they are already in "advocacy mode")
- At the end of a completed treatment programme (closure moment with natural reflection)
Step 2: Make the ask natural and specific
The ask should feel like a favour request, not a sales pitch:
"I am so glad your [treatment] has gone this well. You know, many patients find that friends and family who are dealing with [similar concern] do not know where to go — would you be comfortable sharing our clinic with anyone who comes to mind? I can send you a card or a message you can forward to them."
Two key elements: specificity (who might benefit) and a mechanism (the card or forwarding message).
Step 3: Give them a referral mechanism
A referral mechanism is what converts an intention into an action. Options:
Referral card: A simple card the patient can give to a friend. "Referred by [Patient Name]. Book a consultation at [Clinic Name]: [phone] / [website]."
WhatsApp forward: A message pre-written for the patient to forward:
"Hi — I have been treated at [Clinic Name] for [condition] and it has been a really positive experience. If you are looking for a good [dermatologist / IVF clinic / etc.], I would genuinely recommend them. Here are their details: [phone / link]."
Digital referral link: A unique link for each patient that, when a new patient books using it, attributes the referral. This can be as simple as a WhatsApp message to the clinic with the referring patient's name.
Step 4: Acknowledge and thank every referral
When a referred patient attends, the referring patient should receive acknowledgment within 24–48 hours:
"Hi [Referring Patient Name], your friend [First name only] came in today and I wanted to thank you personally for the recommendation — it genuinely means a lot to us. Is there anything I can do for you at your next visit?"
The thank-you does not need to be a discount or a free service (and should not be incentivised in a way that feels transactional). A genuine, personal acknowledgment is sufficient for most patients.
