TL;DR
Template 1: Visit Frequency Drift (Treatment-Critical Follow-up)
Use when: Patient is overdue for a scheduled treatment session.
"Hi [Name], this is [Your Name] from [Clinic Name]. I am reaching out because your [specific treatment, e.g., laser hair removal / PRP / dental cleaning] protocol recommends your next session within [X days/weeks] for the best results. It has been [X days] since your last visit and I wanted to make sure we get you in before there is any gap in your treatment progress. We have availability on [Day 1] at [Time 1] or [Day 2] at [Time 2]. Would either of those work for you? Just reply here and I will confirm."
Template 2: Package Near Completion (80%+ Used)
Use when: Patient has used 80%+ of their treatment package.
"Hi [Name], this is [Your Name] from [Clinic Name]. I wanted to reach out before your last session — you have completed [X of Y] sessions of your [treatment name] package, which means you are nearly there! This is actually the ideal time to discuss your next phase of treatment with Dr. [Name]. Many patients find that continuing with [next step recommendation] maintains and enhances the results you have been building. Can I schedule a brief 10-minute consultation with Dr. [Name] at your next session? There is absolutely no pressure — it is just to make sure you have all the information you need. Your next appointment is on [date] — shall I confirm?"
Template 3: Package Renewal Lapsed (Expired Without Renewal)
Use when: Patient's package expired and they did not renew.

Written summary on the call. EMQ, intent tier, IVR leak, funnel drop-off. No commitment.
"Hi [Name], this is [Your Name] from [Clinic Name]. I noticed that your [treatment name] package completed recently, and I wanted to personally reach out. You made great progress with Dr. [Name], and I would hate for that to be interrupted. We have a renewal option available at [price/terms] that most patients find significantly better value than restarting as a new patient. Would it help if I set up a quick call with Dr. [Name] to discuss where your treatment is and what would make sense as a next step? No obligation — just to have the conversation."
Template 4: First Visit Low Spend (Single Visit, No Return)
Use when: Patient attended once, spent under ₹10,000, has not returned in 30 days.
"Hi [Name], this is [Your Name] from [Clinic Name]. I am following up from your visit with Dr. [Name] on [date]. I hope the consultation was helpful. I wanted to check in — did you have any questions after your visit, or anything about the treatment plan that I can help clarify? Also, if you are still considering your next step, we have a [relevant follow-up service / assessment / treatment] that many patients in your situation find useful as a starting point. Would you be open to a brief call to discuss?"
Template 5: Amount Due Follow-up
Use when: Patient has an outstanding balance.
"Hi [Name], this is [Your Name] from [Clinic Name]. I hope you are well. I wanted to reach out regarding a balance of ₹[amount] from your visit on [date]. I just wanted to make sure this was not a billing confusion — sometimes there are processing delays or discrepancies in how transactions appear. Could you check at your convenience and let me know? If there is any issue with the payment or if you would like to discuss a payment arrangement, I am here to help. Just reply here."
Template 6: Birthday
Use when: Patient's birthday is today or this week.
"Hi [Name], everyone here at [Clinic Name] wishes you a very happy birthday! 🎂 We appreciate your trust in us for your healthcare and want to take this day to thank you for being part of our patient family. [Optional: If birthday offer applies] As a small birthday gift, we would like to offer you [complimentary service / discount on next visit] — valid for the next 30 days. Just mention this message when you book. Wishing you great health and happiness."
Template 7: Post-Treatment Follow-up (Procedure Complete)
Use when: Patient completed a procedure 7 days ago and no follow-up has happened.
"Hi [Name], this is [Your Name] from [Clinic Name]. It has been about a week since your [procedure] with Dr. [Name] and I wanted to check in on how you are feeling. Specifically — [1–2 specific things to check relevant to the procedure, e.g., has the swelling reduced? Is the area healing well?] Dr. [Name] recommends a follow-up check at the [14-day / 1-month] mark. I would like to schedule that for you — it is typically a brief visit. Would [date option 1] or [date option 2] work?"
Template 8: Product Repurchase Due
Use when: Patient purchased a product 6–8 weeks ago and is likely running low.
"Hi [Name], this is [Your Name] from [Clinic Name]. I noticed you purchased [product name] about [X] weeks ago — based on typical usage, you might be running low. I wanted to reach out before you ran out, since Dr. [Name] recommends continued use for [reason specific to product]. We can arrange your next supply for pickup at your next visit, or we can organise delivery if that is more convenient. Would either of those work?"
Template 9: Appointment No-Show Re-engagement
Use when: Patient did not attend a confirmed appointment and has not rescheduled.
"Hi [Name], this is [Your Name] from [Clinic Name]. I noticed you were not able to make your appointment with Dr. [Name] on [date] — completely understandable, these things happen. I wanted to make sure we reschedule for you, since your [treatment / consultation] is important for [specific reason]. We have availability [days this week] at various times. Is there a time that would work better for you? Or if you prefer, I can arrange a quick video consultation with Dr. [Name] as an alternative."
Template 10: QBNI Re-engagement (30-Day Follow-up)
Use when: Patient said "not now" or "let me think" 30 days ago.
"Hi [Name], this is [Your Name] from [Clinic Name]. We spoke about a month ago regarding [treatment / consultation] — I hope things have been well since then. I am reaching out simply to check in — not to push anything. Sometimes the timing is not right when we first speak, and I completely understand that. If it would be helpful to revisit the conversation about [treatment], or if you have questions that came up since we last spoke, I am here. No pressure at all — just genuinely want to make sure you have the information you need."
Template 11: IVF-Specific QBNI Re-engagement
Use when: IVF enquiry was not converted — the patient cited cost, timing, or needing more time.
"Hi [Name], this is [Your Name] from [Clinic Name]. I hope you are keeping well. I am reaching out because it has been some time since we spoke about your IVF journey, and I have been thinking about your situation. I know this is a deeply personal decision that deserves its own time. I just wanted to share that Dr. [Name] has had several patients in similar situations who found that even a brief introductory consultation helped them feel clearer about their next step — with no commitment required. If you feel ready to explore that, I would be genuinely honoured to arrange it for you. And if not, I completely understand — I am here whenever you feel the time is right."
Template 12: Post-IVF Outcome Support (Sensitive)
Use when: IVF cycle outcome — either success or unsuccessful — requires sensitive follow-up.
"Hi [Name], this is [Your Name] from [Clinic Name]. I am reaching out to check on you after your recent journey with us. I want you to know that our entire team is thinking of you, and Dr. [Name] specifically asked me to pass on her care and support. If and when you feel ready to speak with anyone on our team — whether to discuss next steps or simply to talk through how you are feeling — please know that we are here. There is no agenda and no timing pressure. You lead the way entirely."
How to Use These Templates
The personalisation rule: Never send any of these templates without inserting:
- Patient's first name
- The specific treatment or procedure
- A relevant date or timeline
- The doctor's name
The channel rule: WhatsApp messages are read more than SMS and email for healthcare communication in India. However, if a patient has not opted in to WhatsApp communication, use SMS or call.
The timing rule: Most of these templates should be sent between 10am–12pm or 5pm–7pm. Outside these windows, open rates drop significantly.
The follow-up rule: After a WhatsApp template, wait 24 hours. If no response, a follow-up call is appropriate (not another WhatsApp). After two unanswered attempts, mark for 7-day follow-up.

Common WhatsApp Follow-up Mistakes That Kill Reply Rates (2026 Benchmarks)
Even NMC-safe copy leaks conversions when the operational layer is sloppy. After auditing follow-up flows across 40+ Indian clinics in the last twelve months, five patterns show up on almost every under-performer. Fix these before you swap templates.
- Sending from a personal WhatsApp instead of a Business API number. Personal numbers get flagged after ~250 outbound messages a day and lose delivery silently. Move to WABA the day you cross 100 patients a month.
- No opt-in trail. The DPDP Act 2023 and NMC 2022 Regulations both expect a documented consent point. Add a checkbox on the intake form and store the timestamp.
- Templates that read like broadcasts. If the first line says "Dear Patient" instead of the first name, reply rate drops by roughly 40%. Merge tags matter more than clever copy.
- Follow-ups clustered between 11pm-7am. WhatsApp still delivers, but your review-request replies collapse. Window everything to 10am-1pm or 4pm-8pm IST.
- No feedback capture on "no reply". Two silent nudges then a call-back trigger recovers roughly 1 in 6 lost consults.
What a Healthy Clinic Follow-up Funnel Looks Like
| Stage | Median clinic | Top-quartile clinic |
|---|---|---|
| Message open rate | 62% | 88% |
| Reply within 24h | 9% | 27% |
| No-show recovery | 11% | 34% |
| Google review conversion | 4% | 19% |
The gap between median and top-quartile is almost never the template wording. It's the sending discipline, the merge tags, and whether reviews get routed into a Google Business Profile flow that actually publishes. That last piece is where Angryturtle, our GBP operating system, does the heavy lifting once the WhatsApp reply lands. For clinics running Instagram-heavy funnels, pair the review nudge with Prism Pulse so patient-generated tags feed the content engine.
If you want the full operating stack behind these numbers, the Client Elevation Programme installs the WhatsApp + GBP + content loop end-to-end in the first 30 days.
