Reviews generated through any prohibited method will eventually be removed by Google (they have machine learning detection for unusual patterns) and can result in listing suspension.
The Four-Step Review Programme
Step 1: Identify the Right Moment
The optimal moment to ask for a review is immediately after a positive patient experience — specifically:
- Immediately after a successful first consultation where the patient expressed satisfaction
- The day after a procedure, when the patient messages to say they are comfortable
- After a follow-up visit showing visible treatment progress
- When a patient makes a referral (they are clearly satisfied — this is the peak moment)
Do not ask for reviews before the patient has had a positive outcome experience. Do not ask at the time of payment (this is a pressure point). Do not ask in the waiting room.
Step 2: Train Your Team on the Ask
The most effective review requests come from the doctor or senior counsellor directly, not from a WhatsApp message from an unknown number.
Verbal ask (most effective):
"Thank you for coming in today — I am really glad your [treatment] is progressing so well. Would you be comfortable sharing your experience on Google? It really helps other patients who are looking for the right clinic and do not know where to start. I can send you the link right now."
Then immediately send the WhatsApp message with the link. The verbal plus written combination converts at 3–4x the rate of a WhatsApp message alone.
Step 3: Send the WhatsApp Review Request
Template (adapt to specialty):
"Hi [Name], it was a pleasure seeing you today at [Clinic Name]. I am so glad Dr. [Name]'s [treatment] is going well for you! If you have just 2 minutes, would you mind sharing your experience on Google? It genuinely helps other patients who are searching for the right clinic and do not know who to trust. Here is the direct link: [review link] Thank you so much — and please reach out if you need anything at all."

Google Business Profile dashboard → Ask for reviews → Copy the review link. This takes the patient directly to the review form in one click.
Step 4: Respond to Every Review — Positive and Negative
Responding to reviews is a ranking signal and a trust signal. Google shows that businesses that respond to reviews rank higher in local search than businesses that do not.
For positive reviews:
"Thank you so much, [Name] — this truly means a lot to us. We are so glad to hear that your experience with Dr. [Name] has been positive. Your health and comfort are our priority, and reviews like yours help us continue doing what we love. See you at your next visit!"
For negative reviews (the template that works):
"Thank you for sharing your feedback. We are sorry to hear that your experience did not meet your expectations — we take every concern seriously. We would genuinely like to understand more about your visit so we can address this properly. Please reach out to us directly at [phone/email] and we will make sure this is resolved. Thank you for giving us the opportunity to do better."
What NOT to say in a response to a negative review:
- Do not reference any clinical details (privacy violation)
- Do not be defensive or argue with the patient
- Do not offer incentives to change the review
- Do not say "we have no record of you" without being certain

Handling Fake or Competitor-Posted Negative Reviews
Occasionally clinics receive reviews that are clearly fake, from non-patients, or appear to be from a competitor. If you believe a review violates Google's policies:
- Flag the review in GBP → "Report a problem" → select the relevant policy violation
- Respond professionally (as above) even while the flag is being reviewed
- Do not get into a public argument in the review responses
Google investigates flagged reviews; removal is not guaranteed, but it is worth flagging genuine violations.
