What is offline conversion import?

Offline conversion import is the process of sending conversions that happen outside a website, such as a booked or attended appointment recorded in a CRM, back to an ad platform and matching them to the ad click that started them. It lets Google Ads or Meta optimize toward real bookings instead of form fills. In healthcare it must be designed so PHI is not shared without a lawful basis.

TL;DR
  • Matches CRM outcomes to ad clicks using a click ID (such as Google's GCLID) or other identifiers.
  • Lets bidding optimize for bookings or qualified leads, not raw form fills.
  • In healthcare, send minimal, neutral events and never health details.
  • Whether a conversion signal is PHI is a compliance question; get review before launch.
  • Every practice welcome — retainers from $499/mo, Goals-Driven engagements, Performance-Linked Payout Models available.

“They were able to get all my ideas and work with me over a period of three to four months and create this amazing website. It's super customized, very modern, and it incorporates all the elements that I had wanted — the patient portal, nice pictures, a very interactive website, patient reviews. I would highly recommend their company to anyone who wants to make an excellent website.”

How offline conversion import works

When someone clicks an ad, the platform adds an identifier to the landing page URL. Google Ads uses the GCLID and related IDs; Meta uses its own click ID. The website captures that ID with the form submission or call and stores it in the CRM. Later, when the lead becomes a qualified lead, a booked appointment or a paying patient, the practice uploads a conversion record with the click ID, the conversion name, time and optionally a value. The platform matches it to the original click and reports it as a conversion.

Uploads can be manual files, scheduled imports or API connections from the CRM. Google also offers enhanced conversions for leads, which match using hashed contact details instead of or alongside click IDs. Meta's equivalent runs through its Conversions API.

The benefit is better optimization. Automated bidding learns from the outcomes you send, so sending booked appointments rather than all form fills can shift spend toward people more likely to book.

In marketing

How it applies to practice marketing

  • Capture the click ID in hidden form fields and in call tracking records.
  • Define stages clearly: qualified lead, booked, attended. Send only the stages you need.
  • Use neutral names: "booked appointment", never a condition or procedure.
  • Avoid sensitive values: do not send diagnoses, treatment types or notes.
  • Check BAAs and platform rules: many ad platforms will not sign a BAA, and both Google and Meta restrict sharing sensitive health information.

Limits

Common mistakes and limits

The biggest risk is treating this as a purely technical project. Telling an ad platform that a specific clicker became a patient of a healthcare provider can itself be a PHI disclosure, depending on the setup and the data. Some practices use only pre-appointment stages, de-identified signals or vendors that sign a BAA. This needs a compliance decision, not just a developer.

Common technical mistakes include losing click IDs when forms or booking widgets sit on other domains, uploading duplicates, and sending conversions too late for the platform's import window. Match rates are never perfect, so compare imported numbers to your CRM totals.

FAQ

Common questions

What is offline conversion import in Google Ads?

It is uploading conversions that happen outside the website, such as qualified leads or booked appointments recorded in a CRM, into Google Ads with the click ID captured at the time of the enquiry. Google matches each conversion to the original ad click.

Why should a practice use offline conversion import?

Because form fills and calls are not all equal. Sending booked or qualified outcomes back to the ad platform lets automated bidding learn which clicks lead to real appointments, which can improve cost per booked appointment over time.

Is offline conversion import HIPAA compliant?

It depends on the setup. Telling an ad platform that a specific person became a patient may be a PHI disclosure. Practices should send minimal, neutral events with no health details, check BAAs and platform rules, and get compliance review before launching.

What data should never be sent in an offline conversion upload?

Diagnoses, procedures, treatment types, appointment notes or anything that reveals a person's health. Conversion names should be neutral, such as "booked appointment". Google and Meta policies also restrict sending sensitive health information.
