What is HIPAA-compliant call tracking?

HIPAA-compliant call tracking is call attribution and recording set up so that patient information captured in calls is protected as HIPAA requires. The vendor signs a BAA, access is limited, data is secured, and caller details are not passed to ad platforms without a lawful basis. Call tracking matters for practices because many patients still book by phone.

Guide for US practice owners · Published October 11, 2026

TL;DR
  • Call tracking uses unique numbers per source to show which marketing drives calls.
  • Recordings and transcripts of patient calls usually contain PHI, so the vendor needs a BAA.
  • Recording consent rules vary by state; several states require all parties to agree.
  • Sending call data to ad platforms needs care: share conversions, not health details.
  • Every practice welcome — retainers from $499/mo, Goals-Driven engagements, Performance-Linked Payout Models available.

“They were able to get all my ideas and work with me over a period of three to four months and create this amazing website. It's super customized, very modern, and it incorporates all the elements that I had wanted — the patient portal, nice pictures, a very interactive website, patient reviews. I would highly recommend their company to anyone who wants to make an excellent website.”

What it means

Call tracking assigns different phone numbers to different sources, such as a Google ad, a Google Business Profile or a website visitor session, through dynamic number insertion. When someone calls, the system records the source, time, duration and caller ID, and often records and transcribes the call. Many tools also score calls, for example as new-patient booking or not.

For a practice, that data quickly becomes PHI: a caller's phone number linked to a request for a specific treatment, or a recording where someone describes symptoms. HIPAA therefore applies. A compliant setup includes a signed BAA with the call tracking vendor, role-based access, secure storage, audit logs, retention limits, and rules for what is shared with other tools.

Separately, call recording laws apply. Federal law and many states allow recording with one party's consent, but several states, including California, Florida and Pennsylvania, require consent from all parties. A recorded greeting announcing recording is the common approach.

In marketing

How it applies to practice marketing

  • Get a BAA before turning on recording or transcription.
  • Limit integrations: sending call conversions to Google Ads can be done without health details; avoid passing transcripts, keywords or caller info to ad platforms.
  • Name things neutrally: conversion names like "qualified call" rather than a condition or procedure.
  • Train reviewers: staff who listen to calls for quality scoring need HIPAA training.
  • Protect NAP: use tracking numbers on Google Business Profile correctly so the main number stays listed.

Limits

Common mistakes and limits

A BAA is necessary but not enough. Practices still need to configure the tool so that only needed data is stored and only the right people can access it. A common mistake is enabling AI transcription and keyword alerts that forward health details to email or chat apps without safeguards. Another is assuming the vendor's "HIPAA compliant" label covers every feature; some features may sit outside the BAA.

State laws on recording and on consumer health data can be stricter than HIPAA. Review recording notices, retention periods and integrations with your compliance or legal team. Revisit the setup whenever you add a location in a new state, switch phone systems or connect a new reporting tool, since each change can open a new path for patient data.

FAQ

Common questions

Does call tracking need a BAA for a medical practice?

Usually yes. If the call tracking tool records, transcribes or stores calls where patients share health information, or links callers to the practice, it handles PHI. The vendor should sign a Business Associate Agreement before those features are turned on.

Do practices need consent to record patient calls?

It depends on the state. Federal law and many states allow recording with one party's consent, but several states, including California, Florida and Pennsylvania, require consent from all parties. Practices commonly play a recorded notice at the start of each call.

Can call tracking data be sent to Google Ads?

Conversion events can often be sent without health details, such as a "qualified call" conversion tied to a click. Practices should not send transcripts, procedure keywords or caller details to ad platforms, and should review the setup with their compliance team.

Is a HIPAA-compliant call tracking tool enough for compliance?

No. A BAA and secure tool are the start. The practice must also limit access, set retention periods, configure integrations to avoid sharing PHI, train staff who review calls and follow state recording laws.

A note on this guide: it explains marketing practice, not legal advice. Rules on privacy, advertising and insurance change and vary by state, so confirm anything compliance-related with your own counsel.
