What do medical writing consultants do for pharma companies?
Medical writing consultants write and edit the scientific documents a pharma company needs to develop, register, monitor and communicate about its products. Their work falls into four groups: regulatory documents such as clinical study protocols, study reports and dossier summaries; safety documents such as PSURs and risk management plans; publications such as manuscripts, abstracts and posters; and medical education and promotional content that must pass medical, legal and regulatory review. In India, they also help companies keep content aligned with UCPMP 2024 and CDSCO requirements.
The four main areas of work
| Area | Typical documents | Who reads them |
|---|---|---|
| Regulatory writing | Clinical study protocols, investigator's brochures, informed consent documents, clinical study reports, Common Technical Document (CTD) summaries and overviews | Regulators, ethics committees, investigators |
| Safety writing | Periodic safety update reports (PSUR/PBRER), development safety update reports (DSUR), risk management plans, signal evaluation reports | Regulators and pharmacovigilance teams |
| Publications | Manuscripts, abstracts, posters, review articles, plain-language summaries | Journal editors, peer reviewers, doctors |
| Medical education and promotional content | CME modules, scientific slide decks, detailing aids, product monographs, HCP emails and webinars | Doctors, pharmacists, field teams |
Regulatory writing
Regulatory writers turn trial data into documents that regulators can assess. A clinical study report, for example, describes how a trial was run and what it found, in a structure regulators expect. Dossier summaries draw together quality, non-clinical and clinical evidence for a marketing authorisation. In India, documents for new drugs and clinical trials follow the New Drugs and Clinical Trials Rules, 2019, and are reviewed by the Central Drugs Standard Control Organisation (CDSCO).
Safety writing
Once a drug is on the market, the company must keep reporting on its safety. Safety writers compile adverse event data, analyse trends and draft periodic reports and risk management plans. Under the New Drugs and Clinical Trials Rules, 2019, new drugs generally need PSURs every six months for the first two years after approval and annually for the following two years; check current CDSCO requirements for your product. Our PSUR writing guide and our explainer on PSUR vs DSUR vs PBRER cover the detail.
Publications
Publication writers help authors turn research into journal articles, abstracts and posters. Good practice means the named authors control the content, contributions are acknowledged, funding is disclosed and journal rules are followed. Manuscripts often fail on avoidable issues such as scope mismatch with the journal, weak framing of the research question or poor reporting structure. See why pharma manuscripts get desk-rejected.
Medical education and promotional content
This is where medical writing meets marketing. Writers draft CME modules, scientific presentations, product monographs and HCP communications. Every claim must be accurate, balanced and referenced, and promotional material must comply with the Uniform Code for Pharmaceutical Marketing Practices (UCPMP) 2024. Prescription drugs may be promoted only to healthcare professionals. Our guide on writing UCPMP-clean pharma content shows common pitfalls.
What a consultant adds over an in-house team
- Capacity on demand. Launches, congress seasons and regulatory deadlines create peaks that a small in-house team cannot always absorb.
- Specialist skills. Safety writing, statistics-heavy reports and publications each need different experience.
- Therapy-area depth. A consultant who has worked across many oncology or diabetes projects brings that context to yours.
- An independent check. A fresh reader spots unclear reasoning and unsupported claims that internal teams can miss.
Where AI tools fit
Many medical writers now use AI tools to summarise literature, draft first versions of routine sections or check consistency between tables and text. These tools can save time, but they also invent references, misread data and produce confident errors. A responsible consultant treats AI output as a rough draft, verifies every number against source data and every reference against the original paper, and follows the client's policy on AI use and confidentiality. Unpublished trial data should never be pasted into public AI tools. Ask any consultant how they use AI, what they never use it for and how they document checks.
Common quality problems to watch for
- Numbers in the summary that do not match the tables.
- References that do not support the sentence they are attached to.
- Inconsistent terms, abbreviations or drug names across sections.
- Promotional claims broader than the approved indication.
- Missing limitations or safety information that makes content unbalanced.
A good consultant catches these before the document reaches your reviewers, which shortens approval cycles.
How pharma companies engage medical writers
Companies work with individual freelance writers, specialist medical writing firms or broader medical communications agencies. Freelancers suit defined, one-off documents. Firms suit ongoing volume, multiple document types and work that needs a separate QC reviewer. Read our guide to outsourcing medical writing in India for engagement models.
How to judge a medical writing consultant
- Qualifications. Look for degrees in medicine, pharmacy, pharmacology or life sciences, plus documented writing experience.
- Samples and references. Ask for redacted samples of the document types you need.
- Quality process. Check how they verify data, references and consistency, and whether a second person reviews every document.
- Regulatory knowledge. Confirm familiarity with CDSCO formats, ICH guidelines and UCPMP 2024.
- Confidentiality. Insist on NDAs and secure handling of unpublished data.
- Timelines and revisions. Agree turnaround times and the number of review cycles upfront.
