Who to Re-Engage and When
Phoenix surfaces these patients automatically through the Visit Frequency Drift signal. But even without Phoenix, you can manually identify them from your PMS:
Filter: Last visit date = 45–90 days ago. Treatment status = active (i.e., they have an ongoing treatment plan or package). No appointment scheduled.

Prioritisation within the list:
- Patients with an ongoing package (highest urgency — treatment continuity)
- Patients mid-treatment protocol (significant consequence to gap)
- Patients who visited once or twice and then went quiet (lower priority, different messaging)
The Re-Engagement Message Framework
The key difference between effective re-engagement and a generic "we miss you" message is specificity. The message must reference the patient's specific treatment, their specific stage, and a specific medical reason for the contact.
Template A: Package + treatment continuity (highest performing)
"Hi [Name], this is [Caller] from [Clinic Name]. I am reaching out because you were [X sessions] into your [treatment name] with Dr. [Name] — it has been [X] weeks since your last visit and we want to make sure your treatment progress is not disrupted. Dr. [Name] recommends your next session within the next [X] days to maintain the results you have built so far. We have availability on [Day] at [Time] or [Day] at [Time]. Can I reserve one of those for you?"
Template B: Post-procedure check-in (for single procedures)
"Hi [Name], it has been about [X] weeks since your [procedure] with Dr. [Name]. I just wanted to check in — how are you feeling? Is everything healing/progressing as expected? Dr. [Name] normally recommends a follow-up at the [4-week / 8-week] mark. Can we schedule that for you? It is a brief visit and really valuable for assessing your results."
Template C: Lapsed patient with no ongoing treatment (softer approach)
"Hi [Name], this is [Caller] from [Clinic Name]. It has been a while since we last saw you at the clinic, and I just wanted to reach out personally to check in. If there is anything we can help you with — whether it is something you were thinking about or just a general skin/hair check-up — we would be glad to see you. No pressure at all. Is there anything I can help you with?"
What Not to Say
Do not say: "We miss you" (impersonal, sounds automated)
Do not say: "It has been a while since your last visit" with no context (lacks specificity)
Do not say: "We have exciting new offers for you" (immediately signals sales, not care)
Do not say: "Your treatment results may be diminishing" (creates anxiety, not motivation — unless this is literally clinically true and your doctor has endorsed this messaging)
The 3-Touch Re-Engagement Sequence
Touch 1 (Day 0): WhatsApp message (Template A, B, or C above)
Touch 2 (Day 3): If no response, follow-up call with the same personalised message delivered verbally
Touch 3 (Day 7): Final WhatsApp: "Hi [Name], I have tried to reach you a couple of times. I just want to make sure you have everything you need — if you'd like to continue your treatment or just have a chat with Dr. [Name], I am here. No pressure at all."
After three touches with no response, mark as "Dormant - Re-engage at 30 days" and do not contact again for 30 days. Do not spam.
