AtomCRM for diagnostic labs: handle high call volume without losing the bookings in it
A diagnostic lab's phone rarely stops. Patients book home collections, ask what a health package includes, check whether a report is ready, and ask about fasting before a test. Most calls are short. A few are valuable bookings. On a busy morning, the valuable ones get lost among the rest.
AtomCRM helps a lab's calling team separate the two. Booking and package enquiries become leads with stages and dates, missed calls are escalated within seconds, and every call is captured from the handset so the manager can see where the morning went.
- Lab phone lines mix quick service calls with valuable booking and package enquiries.
- AtomCRM turns home-collection and package enquiries into leads with stages and follow-up dates.
- Missed-call escalation matters most in the morning peak, when patients call before sample collection.
- Every call is read from the handset, so the hourly strip shows when the desk falls behind.
- Telecallers explain tests and preparation; interpreting results is for a doctor.
Not every lab call is a lead, and that is the point
A lab's calling team handles several kinds of calls. Some should be leads in the CRM. Others should simply be logged. Mixing them up either buries the bookings or clutters the CRM with calls that will never convert.
| Call type | Treat it as | What AtomCRM does |
|---|---|---|
| Home-collection booking | A lead with a date | Stage and collection date in the after-call form |
| Health-package enquiry | A lead with a quote | Callback date required after a package is quoted |
| Corporate or bulk enquiry | A lead with a longer cycle | Owned by one person, with dated follow-ups |
| Report status | A service call | Captured from the call log for volume and timing |
| Preparation question | A service call | Captured from the call log; can be added to the lead if one exists |
Because calls are read from the phone's own call log, service calls are still counted even when nobody opens a lead for them. The desk's workload is visible without clogging the pipeline.
The early-morning problem
Many lab bookings happen early, when patients want a fasting sample collected before work. That is also when phlebotomists are out and the desk is juggling reschedules. A missed call at 7:30 am is usually a booking for someone else by 7:45.
AtomCRM tackles that with two layers. Carrier call forwarding, set by the app on each handset, moves a live call along a ladder you draw in the CRM. If the call is still missed, the call-back is offered to colleagues one by one, each with a countdown of about twenty seconds. The Missed tab shows which calls were rescued and which were lost.
The hourly strip on each telecaller's Me screen then shows exactly which hours run red. For most labs, adding one person to the early shift or moving a break fixes more than any script change.
Following up health-package enquiries properly
Package enquiries often come from campaigns: a seasonal full-body check, a senior-citizen package, a women's health panel. The patient asks what is included and how much it costs, then says they will book later.
In AtomCRM, a "package quoted" stage can require a callback date, so each of those promises sits in the Follow-ups screen until kept. When the patient books, the stage change can flow back to Meta and Google through Beacon, so the marketing team knows which campaigns filled collection slots rather than which ones generated form fills.
Setting AtomCRM up for a lab or collection network
- Decide what becomes a lead. Usually home collections, packages and corporate enquiries.
- Map numbers to ladders. A main booking line and, if you run them, campaign or branch numbers.
- Configure stages. Collection booked, collected, report shared, package quoted, corporate proposal.
- Pilot at peak. Run the two- or three-handset pilot through a real early morning, not a quiet afternoon.
What lab telecallers should and should not say
- Explain, do not interpret. Telecallers can explain what a test is and how to prepare. Interpreting results is for a doctor.
- Verify before sharing report status. Confirm identity before telling anyone whether a report is ready.
- No sex-determination discussion. Labs offering imaging must refuse any request about the sex of a foetus; the PCPNDT Act prohibits it.
- Consent for marketing calls. Call patients about new packages only where they have agreed to be contacted, and honour opt-outs.
Corporate health-check enquiries
Many labs also take enquiries from employers, housing societies and schools about group health checks. These behave very differently from patient bookings. The decision is made by an HR or admin contact, it involves a proposal and approval, and it can take weeks.
In AtomCRM these can run as their own track, owned by one person, with stages such as proposal sent, approval awaited and camp date fixed, each with a required follow-up date. The calls with the corporate contact are captured from the handset like any other, so the history of a long negotiation stays on one record.
Keeping this track separate stops a handful of large, slow enquiries from getting buried under the morning's home-collection calls.

AtomCRM for diagnostic labs: common questions
Do report-status calls clutter the CRM?
They do not have to. Calls are read from the handset's call log and counted for workload, while only bookings, packages and corporate enquiries are worked as leads.
Can AtomCRM help with early-morning missed calls?
Yes. Carrier forwarding moves live calls across handsets, missed calls are escalated to the next free colleague within seconds, and the hourly strip shows which hours need more cover.
Can we track which campaigns lead to collections?
When a collection is booked, the stage change can be sent to Meta and Google through Beacon, so campaigns learn from bookings.
What does it cost?
₹50,000/- one-time setup plus ₹799/- per telecaller per month, with the calling app included.
