LynxFlow: every WhatsApp enquiry qualified, and the good ones in your CRM marked "Qualified"
A Meta ad can fill your WhatsApp with fifty new chats in a day. Maybe five are people ready to book. Your front desk shouldn't have to find them by hand. LynxFlow talks to every new enquiry, asks the questions you would ask, decides whether the lead fits, and sends the qualified ones straight to your CRM with the reason attached.
- LynxFlow is a WhatsApp Business platform with an AI lead qualifier, built for practices that get enquiries from Meta click-to-WhatsApp ads.
- The flow: ad → WhatsApp chat → AI asks your questions → verdict → qualified lead in your CRM, labelled and explained.
- Also included: shared team inbox, campaigns, follow-up journeys, chatbot flows, consent and opt-out handling, and qualified-lead signals back to Meta.
- Pricing: $40/mo in the US · ₹3,999/- per month in India, including campaign management and the AI chatbot.
Why WhatsApp leads go cold
WhatsApp is where enquiries arrive fastest, and where they are hardest to manage. One phone gets passed around the front desk. Two people answer the same person, or nobody does. By the time someone replies, the lead has messaged three other practices.
Then there is volume. Click-to-WhatsApp ads are cheap per chat, so a campaign that works brings a flood of "hi", "price?" and "is this available?" messages. Most are curious. A few are ready. Your team spends the day typing the same four questions to everyone and calls the good leads late.
The ad platform suffers too. Meta only knows someone started a chat. It doesn't know which chats turned into booked consultations, so it keeps finding more people who like to tap and not people who book.
LynxFlow fixes all three: one inbox with clear ownership, an AI that does the first round of questions, and a signal back to Meta about who actually qualified.
From Meta ad to qualified lead in five steps
- Someone taps your ad. A Meta click-to-WhatsApp ad on Facebook or Instagram opens a chat with your practice's WhatsApp number, with a message already typed.
- The conversation starts instantly. LynxFlow saves the contact, records how they arrived and that they messaged you first, and replies within seconds, day or night.
- The AI qualifier asks your questions. In a short chat, not a form: which treatment, for whom, which city, how soon, and whether they want to come in. In India it follows the person's own mix of English and Hindi.
- It reaches a verdict. Qualified, not qualified, still in progress, or needs a human, with the reason written out and a confidence level. The details it gathered are saved to the contact as fields, not buried in the chat.
- The qualified lead lands in your CRM. Posted the moment the verdict is reached, labelled "Qualified", with the reason as a note. At the same time, the qualified signal can go back to Meta so your ads learn who converts.
Qualification you can read, not a black-box score
A good lead for an IVF centre looks nothing like a good lead for a med spa. So LynxFlow doesn't use one generic score. It defines "qualified" per industry in three layers:
- An industry baseline: worked examples of how a good qualifier behaves in that field, including which questions are worth asking and how to say a polite no.
- An industry template: the details to collect, the qualifying scenarios, exclusions, and any regulatory guards that field must run.
- Your own list: replace the inherited scenarios with your own, up to 30 plain sentences. Restore the default at any time.
Scenarios are situations, not keywords, and a lead qualifies on any one of them. The AI reads meaning, so "how much for the treatment", "what's the package cost" and the Hindi equivalent are treated the same.
Two rules sit behind every scenario. First, relevance is to the service, not your brand: someone comparing three clinics is still a real lead, and that is what your ad spend bought. Second, a lead who prefers a phone call to a visit is never marked down for it.
Your team can approve or overturn every call the AI makes. Those corrections are used to tune the qualifier for your workspace, so it gets closer to your front desk's judgement over time.
Everything your WhatsApp channel needs, in one workspace
Shared team inbox
One number, many staff, no double replies. Each chat has an owner, a status and a history that survives staff turnover. Nobody can reply to a chat they haven't claimed.
24-hour window timer
WhatsApp allows free-form replies for 24 hours after the patient's last message. Every chat shows the time left, and switches to approved templates when it closes.
AI lead qualifier
Conversational qualification with written verdicts, saved details and hand-off to a person after a limit you set.
AI assistant
Answers from documents you upload, like service lists, FAQs, timings and policies. When unsure, it says so and passes the chat to your team.
Templates and campaigns
Draft and submit templates for Meta approval, then send to a segment. See recipient count and cost before launch, with daily and monthly spend caps.
Journeys
Multi-step follow-ups that run over hours or days: send, wait, branch, tag. They respect quiet hours and stop the moment someone replies.
Chatbot flows
Guided conversations with buttons and lists that collect appointment type, location and preferred time before a person joins. Test them in a simulator first.
Consent and opt-out
Opt-in status and source stored for every contact. STOP is honoured everywhere: campaigns, automations and manual replies.
Sales pipeline
A deal board with your own stages, linked to the conversation each deal came from.
Website WhatsApp widget
A floating button for your site that opens a pre-written chat and can capture name and number first, with your own consent wording.
Analytics
Response times by staff member, lead quality, campaign delivery and reply rates, and what messaging actually cost. Export anything as CSV.
Roles and permissions
Five roles, from admin to telecaller to read-only analyst, so a new staff member can't export your contact list on day one.
How practices use LynxFlow
IVF and fertility centres
Fertility enquiries are high-value and sensitive, and ad campaigns attract a lot of early-stage curiosity. The built-in fertility template establishes how long the couple has been married, their city, age, whether there has been prior treatment, whether the enquiry is for themselves or a spouse, and whether they want to come in. Anyone asking about cost, packages or the doctor counts as a real lead. In India, fertility and clinic workspaces also run a compliance guard before the AI is consulted: any request for a baby of a chosen sex is refused with a fixed reply, disqualified and flagged for review, as the PCPNDT Act requires.
Dental practices
Dental ads for implants, aligners and smile makeovers bring price shoppers alongside serious patients. LynxFlow asks which treatment, whether it is for themselves or a family member, how soon, and whether they want a consultation, then routes the ready ones to the front desk with the answers already filled in. Journeys follow up with people who went quiet, and stop the moment they reply.
Dermatology and hair clinics
Skin and hair enquiries often start with a photo and "how much?". The AI assistant can answer consultation timings, locations and service descriptions from your own documents, while the qualifier works out which treatment they are interested in and how soon. The clinical assessment stays with your doctors.
Med spas and aesthetic clinics
Aesthetic practices run the most promotional campaigns, so consent matters most. LynxFlow keeps opt-in records per contact, sends only Meta-approved templates outside the 24-hour window, and holds campaigns automatically if Meta rates your number's quality as low. Seasonal offers go to opted-in segments, and qualified leads go back to Meta to sharpen targeting.
Qualified leads go where your team already works
LynxFlow doesn't ask you to change CRMs. A qualified lead can become a contact or lead record in your CRM or a row in a Google Sheet, matched on phone number, with the qualifier's reason attached as a note.
- Signed webhooks for every significant event (new lead, qualified, reply, delivery status), retried on failure, with a delivery log you can inspect.
- A public API with scoped keys to read contacts, send messages and enrol people in journeys. Retrying a send never sends twice.
- Automation-tool connections so you can reach tools without a native connector.
- Payment links in chat through your own payment gateway account (India), with the money going straight to you.
- Qualified-lead signals to Meta, so Ads Manager optimises on qualified leads rather than chats started.
Every connection is off until you connect it with your own account. Keys are checked with the service before the connection switches on and are never shown again after saving.

Built to keep your WhatsApp number, and your patients' trust, safe
WhatsApp Business Policy and opt-in
Meta requires businesses to get opt-in before sending marketing messages and to use approved templates outside the 24-hour service window. LynxFlow records opt-in and its source for every contact, refuses all messages to anyone who has sent STOP, and can hold campaigns automatically when Meta rates your number's quality as low, rather than risking the number.
United States: HIPAA caution
LynxFlow is designed to collect enquiry details: the service someone is interested in, location, timing and how they found you. US practices should avoid collecting clinical information such as symptoms, diagnoses, medications or medical history in WhatsApp chat unless their arrangements with every party handling that data are appropriate for PHI. Set your qualifier scenarios around the enquiry, not the patient's health, and move clinical conversations to your secure systems. Where our agency work involves PHI, Ichelon Consulting US is prepared to sign a BAA.
India: DPDP and PCPNDT
You can export or erase an individual's data on request, and export your whole contact database at any time. Fertility and clinic workspaces run the PCPNDT guard in code, before the AI sees the message, so no model decides a question the law has already answered.
Security
Each workspace's data is separated at the database level. Two-factor login is available for your team, provider keys are encrypted at rest, and an activity log records who changed settings, exported contacts or reassigned chats. Raw provider callback logs are deleted automatically after 15 days, and retention for other records is configurable.
Going live without surprises
LynxFlow connects to your WhatsApp Business Platform number through a WhatsApp Business Solution Provider, using your own credentials. We say plainly which connections have carried live traffic and which are newer, and we walk the first connection with you.
A new workspace isn't switched on until three things are true: your provider's callback reaches LynxFlow, a real inbound message arrives, and a reply is delivered. Until then, campaigns and the API stay off, so nobody discovers a broken connection by sending a thousand messages into nothing.
Choosing your industry also fills the workspace with a starter kit: appointment confirmation and reminder templates for clinics, a first follow-up journey, a segment and a conversion goal. All of it is editable.
If you'd rather we run it for you, our performance team can set up the Meta click-to-WhatsApp campaigns, the qualifier scenarios and the CRM hand-off as part of a managed engagement. See Meta Ads for healthcare.
LynxFlow: common questions
What is LynxFlow?
LynxFlow is a WhatsApp Business platform with an AI lead qualifier built in. It gives your team one shared inbox for your WhatsApp number, runs a short qualifying conversation with every new enquiry, and marks the ones that fit your criteria as "Qualified" so your front desk calls those first. It also handles campaigns, follow-up journeys, chatbot flows and consent.
How much does LynxFlow cost?
In the United States, LynxFlow is $40/mo. In India it is ₹3,999/- per month, which includes campaign management and the AI chatbot. WhatsApp message charges set by Meta are separate: you either top up LynxFlow message credits or, if you bring your own provider account, that provider bills you directly.
How does the AI lead qualifier decide who is "Qualified"?
You describe what a good lead looks like in plain sentences, up to 30 scenarios. The AI reads the conversation for meaning, not keywords, and a lead qualifies when it meets any one scenario. Each verdict (qualified, not qualified, in progress or needs a human) comes with the reason written out, and your team can approve or overturn it.
Does LynxFlow work with Meta click-to-WhatsApp ads?
Yes. That is the main use. People who tap your ad land in a WhatsApp chat, LynxFlow qualifies them, and qualified leads can be reported back to Meta so Ads Manager optimises towards people who actually converted rather than everyone who tapped.
Can qualified leads go straight into our CRM?
Yes. A qualified lead can be posted to your CRM, a Google Sheet or your own system the moment it gets a verdict, through signed webhooks that retry if your endpoint is briefly down. The qualifier's reason is attached as a note, and records are matched on phone number.
Is LynxFlow HIPAA-compliant for US practices?
LynxFlow is built to collect enquiry details: name, the service someone is interested in, city, timing and how they heard of you. We recommend US practices do not collect clinical information such as symptoms, diagnoses or medical history in WhatsApp chat unless their arrangements with every party handling that data are appropriate for PHI. Configure the qualifier to ask about the enquiry, not the patient's health, and move clinical conversations to your secure channels.
How does LynxFlow handle consent and opt-outs?
Every contact's opt-in status and its source are stored. When someone replies STOP, campaigns, automations and manual replies to that person are all refused. Outside WhatsApp's 24-hour service window, only Meta-approved templates can be sent.
Do we need a new WhatsApp number?
You need a number registered on the WhatsApp Business Platform through a WhatsApp Business Solution Provider. LynxFlow connects to your provider account with your own credentials, and the workspace stays switched off until a real inbound message arrives and a reply is delivered, so a broken connection is caught before any campaign goes out.
Can the AI answer patient questions?
The AI assistant answers only from documents you upload: your service list, FAQs, timings and policies. When it cannot answer confidently, it says so and hands the chat to a person. For healthcare, keep its knowledge to logistics and service information, not medical advice.
