Three buckets, one list
The Follow-ups screen holds three buckets: overdue, today and upcoming, each carrying its count on the tab. A floor manager and a telecaller see the same three numbers, so "how far behind are we?" has one answer.
The screen opens on overdue when there are any, and on today when there are none. That small rule matters. A screen that opens on an empty red list every morning teaches a telecaller that red means nothing.
Each row does two things without leaving the list: mark the promise kept, or dial. Done comes first in visual weight, because marking a promise kept is the bookkeeping this screen exists for, and it is the step people skip. Tapping the row itself opens the full lead.
Rules that stop leads going stale
Follow-up discipline starts on the call before. Two rules in the after-call form feed the Follow-ups screen with promises that mean something.
A note with every stage change
A stage change without a note is refused. "Not interested" with no reason is a dead end for whoever picks the lead up next: was it price, timing, a wrong number, or no answer at all?
A date where the stage needs one
Stages that your CRM marks as needing a callback or an appointment will not save without a date. The app says so before Save is pressed, not after.

Stage, follow-up date and note are saved together. There is no half-updated lead with a new stage and no callback date.
Why the list updates the moment a follow-up is done
Completing a follow-up on the phone immediately updates the lead, the tab counts and the leads list. That sounds minor. It is not. A telecaller who has just dispositioned a call and still sees it listed as due stops trusting the list, and once they stop trusting it they start keeping their own notes on paper, which is where follow-ups go to die.
The desktop CRM shows the same buckets, so a manager can see the overdue count for each telecaller without asking anyone.

A weekly follow-up review in fifteen minutes
- Look at overdue by telecaller. One number per person, from the desktop CRM.
- Open three overdue leads at random. Read the last note. Was the promise clear? Was the date realistic?
- Check leads marked lost this week. Every one should carry a reason. If the notes are vague, that is the coaching topic.
- Look at the hourly strip for the worst day. Often the overdue pile grew because the team was short on one afternoon.
Three follow-up habits that quietly lose leads
Setting every callback for tomorrow. It feels diligent, but it floods the next day's list and teaches the team that dates are meaningless. Ask the patient when suits them and use that date.
Re-scheduling without calling. Moving an overdue follow-up forward without dialling makes the red count go down and the lead go cold. In AtomCRM, the lead's activity shows calls, notes and stage changes newest first, so a date that moved with no call behind it is easy to spot.

The leads and their follow-ups stay in AtomCRM. An administrator reassigns them in the desktop CRM, and they appear in the new owner's Follow-ups screen with the full history and recordings.
