How to Remove Fake Google Reviews for a Clinic — the 2026 India Playbook

Removing a Google review is not a right — it is a policy adjudication. Google decides. The clinic proposes. The evidence closes the gap. Across 143 healthcare listings ReputationShield manages, the removal success rate on genuinely policy-violating reviews sits between 55 and 70 per cent. On merely negative but genuine reviews it is close to zero — and rightly so. This is the playbook the reputation team uses, laid out in the order the work actually happens.

Step 1 · Classify the review honestly

Every removal decision starts with an honest classification. Not "I do not like this review" — but "does this review violate a specific clause in Google's review policy?" Google's public policy names eleven violation categories:

If the review does not sit clearly inside one of these buckets, it will not be removed. The right work then shifts to response and response only — see how to respond to negative Google reviews.

Step 2 · Assemble the evidence pack

Google's Business Redressal Complaint Form accepts free-text and attachments. What actually moves a decision is a tight evidence pack:

  1. Screenshot of the review — clean crop, visible timestamp, visible reviewer name and photo, URL captured in the address bar.
  2. Reviewer profile screenshot — how many reviews they have posted, over what time window, what pattern (all one-star, all competitor listings, mass-posting in one day).
  3. Cross-listing pattern — if the same reviewer has posted the same or similar content on multiple listings, capture each URL.
  4. Contradicting-record evidence — if the clinic has records that contradict the review (no visit under that name, no procedure of that type performed, service delivered by different practitioner) prepare a written statement without disclosing patient identifiers.
  5. Device or IP anomalies — if the review-bomb velocity is visible in your GBP analytics, screenshot the anomaly cluster.
  6. Policy clause citation — quote the exact Google policy clause the review violates. "This review violates Google's Fake Engagement policy because…" is more effective than "this review is unfair".

Step 3 · File the Redressal Complaint Form

The Google Business Redressal Complaint Form is Google's formal escalation channel for policy-violating Business Profile content. It is not the same as the in-listing flag ("Report review"), which is a lightweight algorithmic first pass. The Redressal form goes to a human policy team and has a materially higher success rate.

The form structure:

  1. Business name and Business Profile URL.
  2. Country (India) and language.
  3. Category of violation (pick from the eleven above).
  4. URL of the specific review being complained about.
  5. Description of the violation — 300 to 700 words is the sweet spot. Cite the policy clause, describe the pattern, reference the evidence attachments.
  6. Attachments — the evidence pack.
  7. Contact email — must match the GBP owner.
Time budget A well-assembled Redressal filing takes 90 to 150 minutes per review. Trying to shortcut this with a two-sentence complaint gets rejected inside 48 hours. The evidence is the leverage.

Step 4 · Public response in parallel

Never wait for Google's decision before responding publicly. File the Redressal form, then within the same 24-hour window publish a neutral response using the four-block frame. Two reasons: readers checking the listing between filing and decision see the response, not silence; and Google's own review of the case appears to weight listings with active, calm engagement more favourably than passive ones.

Step 5 · Track the decision window

Median time to decision across the ICG portfolio is 8 days. Some decisions arrive in 48 hours; some take 4 to 6 weeks. The decision comes as an email to the GBP owner's account and is not always mirrored inside the listing view — so track by email, not by refreshing the profile.

Step 6 · The appeal path

A first rejection is not the end. The Business Redressal form accepts a refile with new evidence, and a second escalation route exists through the Google Business Profile Help contact channel. The appeal path adds 14 to 21 days. What moves an appeal decision:

What Google will not remove

To close the honest classification: Google will not remove a review because it is negative, because it is inaccurate in the reviewer's opinion, because it hurts the business, or because the reviewer is a competitor's patient. The review needs to violate a specific policy clause. Genuine negative reviews from genuine patients — even harshly worded ones — stay. The right work on those is response, not removal.

The legal notice route — used carefully

Some reviews cross into defamation as defined by Indian law — false statements of fact that damage reputation, published with malice or reckless disregard for truth. A defamation route exists via Section 499 and 500 of the Indian Penal Code (and the corresponding sections of the BNS). Two rules govern its use inside ReputationShield: notices are drafted and delivered by a qualified lawyer, and they are never posted in the public review response. Public legal threats read as retaliation, drive review-bombs, and rarely lead to removal.

The suspension risk

Aggressive removal attempts — mass-filing, coordinated flagging by staff and family, buying reviews to dilute the negative one — trigger Google's own quality-signal detection.
