Google Review Generation for a Clinic — 9 Ethical Ways That Work Under NMC and ASCI
The three rules every review generation tactic must pass
- Google policy — no paid, incentivised, discounted-for, or fake-engagement reviews. No employee reviews (conflict of interest). No batch-posting from the clinic device.
- NMC Section 6 — no solicited testimonials that imply cure, superiority or endorsement. No scripted wording provided to the patient.
- ASCI Chapter III — for cosmetic and aesthetic clinics, no scripted outcome claims and no before-and-after ratification.
Any tactic that fails any of these three is not on the list. If a tactic looks smart but fails one rule, it is the wrong tactic — Google's detection has become materially better since 2023 and the suspension consequences have got worse.
Tactic 1 · Trigger at the right service moment
The single most important discipline is timing. The review request is triggered inside 24 hours of a genuine, positively signalled service moment — post-consultation, post-procedure, post-discharge, post-follow-up closure. Timing beats copy. A neutral message sent at the right moment gets a 21 per cent conversion rate in the ReputationShield dataset. The same message sent randomly gets under 5 per cent.
The trigger inside the practice management system: after check-out, after payment confirmation, after a follow-up call where the patient signals satisfaction, after a discharge note. Never before the outcome is known.
Tactic 2 · Send the request through the channel the patient already uses
WhatsApp Business message where WhatsApp is the primary channel. SMS where SMS is. Email where email is. Never mix. Never spam multiple channels for the same request. The clinic's existing communication rhythm decides — a clinic that talks to patients on WhatsApp should send the review request on WhatsApp; a hospital that emails discharge summaries should attach the review link to the discharge email.
Tactic 3 · Use neutral, unincentivised copy
Thirty-nine words. No mention of doctor name. No mention of procedure. No incentive. No script. No superlative. This is the workhorse template inside ReputationShield. Tactic 4 · Include the direct Google Business Profile link
The review request must include a one-click link that lands on the Google review write page. Without the direct link, conversion drops by roughly 60 per cent. The link is generated inside Google Business Profile Manager (Home → Get more reviews → Share review form) and it looks like https://g.page/r/[code]/review. Shorten it via a first-party redirect on the clinic domain if the visible URL is too long — never through a public link shortener, which reads as spammy.
Tactic 5 · Ask only patients whose experience is complete
A patient mid-treatment does not have enough context to write a real review. Wait until the treatment cycle closes, the discharge is issued, or the follow-up is done. IVF clinics wait until the outcome cycle closes (positive or negative — the review is about the experience, not the outcome). Dental clinics wait until the treatment plan finishes. Aesthetic clinics wait until the post-procedure recovery is complete.
Tactic 6 · Match request velocity to visit velocity
Google's anti-manipulation systems flag velocity spikes. A clinic that sees 40 patients a week can request reviews from all 40 — spread through the week, not batched. A clinic that sees 4 patients a week and sends 40 review requests will see the resulting reviews suppressed or removed. Match natural velocity. If the practice wants to grow review volume, grow visit volume first — then the requests follow honestly.
Tactic 7 · Follow up once, gently
If the patient does not respond to the first request within 5 days, one follow-up message is acceptable. Not two, not three, not a nagging sequence.
Tactic 8 · Never edit or script the review content
The patient writes what the patient writes. The clinic never suggests wording. Never asks them to mention a specific doctor. Never asks them to mention a specific procedure. Never asks them to mention a specific outcome. Scripted testimonials violate both NMC Section 6 (solicited testimonial with implied endorsement) and Google's policy (fake or manipulated engagement) simultaneously. The review is honest or it does not exist.
Tactic 9 · Do not exclude negative reviewers from the request flow
Some agencies use a two-step "review gating" workflow — send a satisfaction survey first, only forward satisfied patients to Google, route dissatisfied patients to a private feedback form. Google explicitly banned review gating in 2018 and the ban has been enforced tightly since 2023.
