Lead-to-appointment call scripts that stay NMC-compliant
A clinic's telecallers speak for its doctors dozens of times a day. What they say on the phone is part of how the clinic presents itself, and in India that presentation is governed by the National Medical Commission's professional conduct rules for doctors, and by several other laws depending on the specialty.
This guide gives you a script structure for turning an enquiry into an appointment, sample wording for each step, a list of phrases to avoid, and specialty red lines. It is practical guidance, not legal advice. Check your final scripts with your own counsel, because regulations are updated from time to time.
- Telecallers should inform and book, never diagnose, promise outcomes or disparage other doctors.
- Structure: introduce, confirm the person, understand the need, explain the process, offer a slot, confirm and set the next step.
- Avoid words like guaranteed, 100 percent, permanent, painless and best when describing treatment.
- Specialty laws add red lines: the ART and Surrogacy Acts for fertility, PCPNDT for sex determination, and the Drugs and Magic Remedies Act for cure claims.
- Call recordings on the lead are the practical way to check that scripts are actually followed.
Four rules every clinic script should follow
Inform, do not diagnose
The telecaller explains the process and books the consultation. Diagnosis, suitability and treatment advice come from the doctor.
No promised outcomes
NMC rules on professional conduct discourage doctors from claiming or implying guaranteed results. A telecaller speaking for the clinic should not do it either.
No comparisons that run down others
Describe your own clinic accurately. Do not criticise other doctors or clinics to win a booking.
Consent and privacy
Confirm you are speaking to the right person, respect when and how they want to be contacted, and honour opt-outs. The DPDP Act 2023 applies to the personal data you collect.
A lead-to-appointment script, step by step
Adapt the wording to your clinic and your patients' languages. The structure is what matters.

If the caller is not ready to book, the last step becomes a dated follow-up: “When would be a good time for me to call you back?” In AtomCRM, stages that need a callback will not save without that date.
Phrases to avoid, and what to say instead

Laws that add limits in specific specialties
- Fertility. The Assisted Reproductive Technology (Regulation) Act 2021 and the Surrogacy (Regulation) Act 2021 govern donors, surrogacy and eligibility. Route those questions to a counsellor. Never quote success rates as a promise.
- Sex determination. The PCPNDT Act prohibits it. Any clinic or lab offering imaging or fertility services must refuse such requests clearly on every call.
- Cure claims. The Drugs and Magic Remedies (Objectionable Advertisements) Act 1954 restricts claims to cure listed diseases and conditions. This matters most for Ayurveda, wellness, weight-loss and hair-loss enquiries.
- Dentistry. The Dental Council of India's code of ethics governs how dentists advertise and solicit patients.
- Unsolicited calls. Calling people who never enquired falls under TRAI's rules on commercial communication. Call people who asked to be contacted, and respect do-not-call preferences.
How to check that scripts are actually followed
A script in a folder does nothing. What matters is what telecallers say on the two-hundredth call of the week, when they are tired and the patient is pushing for a promise.
Recordings are the practical check. Can telecallers quote prices on the phone?
Quoting fixed fees such as the consultation fee is common and helpful. Treatment costs that depend on the doctor's assessment should be explained as such rather than promised.
Can telecallers talk about success rates?
Avoid presenting success rates as a promise. Outcome and prognosis questions belong with the doctor, who can explain them in the context of the patient's case.
